Provides a high level of administrative support to the faculty, research staff, students and guests of the Yale Institute of Network Science (YINS). Reporting to the Operations Manager with day-to-day work assignments closely coordinated by the YINS senior administrative staff to ensure the smooth operations of these inter-faculty initiatives.
Assists in providing needs for YINS personnel, working effectively within the university environment across academic and administrative units. Assists in providing support for seminars, conferences, and other events; arranging business travel for faculty staff and visitors; supporting faculty teaching-related needs; and assisting to providing overall administrative organization and structure to internal operations such as mail distribution, shared space scheduling, maintaining supplies, and coordinating university services for YINS personnel. Serves as initial point of contact for campus-based and external inquiries from researchers, students, press, etc. Assists in publicizing / communicating events as appropriate, including posting of web sites articles and email lists. Completes expense reports, check requests, purchase requisitions, and requests for services in support of a variety of administrative and research activities. Performs similar duties for individual faculty members in support of university-based and sponsored research projects.
Reporting to the Human Nature Laboratory Director and Executive Director of Yale Institute for Network Science, this position provides a high level of financial support to the Lab Director, PI, and other members of this bio-social science research group with a diverse funding portfolio. Works closely with the Operation Managers of Sociology and the School of Engineering and Applied Science. Works in union with FRMS to maintain the accuracy of all post award accounting duties of sponsored extramural awards and manages a high volume portfolio at the University. These duties involve a variety of financial & analytical review and quality assurance activities to ensure compliance with accounting principles, sponsor requirements, federal and state guidelines and University policies. Performs complex review of grant & contract expenditures, including unallowable costs, F&A charges and overdrafts to assure compliance with all requirements and works on forecasts for various projects. Perform account status review, including monitoring spending trends and overdrafts, review of restricted budget, review of subcontractor costs, performing cash and expenditure reconciliation. This position will also work with a team to manage contracts with vendors and sub-awardees, and occasionally address other compliance issues, such as IRB approvals and NIH reporting of manuscripts and conflict of interest documentation. In addition, this position may assist as a back up to the appointment process (from an operational standpoint) for post docs, graduate studets and non-ladder faculty that may be required to work on research projects.
